Worthy Derby Volunteer Overview

Overall Derby Operations

 

Depot Preparation Area (2-3 Volunteers)

This role helps monitor the area  here we do with any final prep of the cars, or assist with ideas and usage of tools to help adjust cars that are returned this area for weighing too much.

 

    • Drills, sandpaper, Dremel, coping saw (depending on what is available)
    • Adding weights (if any materials are available)
    • Tape, glue (if available)
    • Scale (if available)
    • Note the troop does not provide items for additional weight and depending on the year may have only limited tools to remove weight. 

 

Weigh-In (2-3 Volunteers)

This role "gate-checks" the cars and ensures that the cars are within the limits stated on the Worthy Derby Rules page.  Cars that fail weigh-in/inspection are sent back to the depot prep area.  Scales will be made available.  

 

    • Check for less than 5 oz weight
    • Check proper wheels and axles.  
    • The overall length of the car shall not exceed 7 inches.
    • The overall width of the car shall not exceed 2 and 3/4 inches.
    • The car must have 1 and 3/4 inch clearance between the wheels.
    • The car must have 3/8 inch clearance underneath the body so it does not rub on the track. 
    • If any of the dimensions are outside of compliance, cars are should be returned to the depot area for modifications.  
    • For improper wheels and nails, new ones must be purchased and the incorrect ones replaced. 
    • If the car passes all the above checks, pass the car to the Check-in volunteer. 

 

Check-In (3 Volunteers)

This role helps organize and monitor the event area.  We also have tables setup to organize cars once they've passed weigh in, and we'll need to keep folks away from those and the track.

 

    • Assign the number for their car (sticker on the car) and do data entry in our race organizer program
    • When no Photographer is present, take photo of each participant with car (see Photographer below) 
    • When no Photographer is present, walk participants over to the ready tables and place the car at the car's numbered location on the "ready tables." 
    • When check-in is complete, monitor area around track, marked with cones, tapes, ribbons, etc. and prevent access to race track

 

Photographer

    • After check-in, the photographer takes a picture the Trailman with their car standing next to our flags.
    • Depending on the situation, they take car from the Trailman to the car's numbered location on the ready tables. 
    • Once all the pictures have been taken, present the storage card to the race director who will prepare a presentation
    • When check-in is complete,  help monitor area around track, marked with cones, tapes, ribbons, etc. and prevent access to race track 

 

Starter / Car Carrier / Lane Coordinator

    • This role picks the cars up from the "ready table" and places them on the lanes as directed by the race director. 
    • They start the cars when directed
    • Before the event, they may assist the Photographer by taking the Trailman's car to its numbered location on the "ready table".

 

Judging (3 Volunteers) - Note: Not every derby will require judges.

You're a judge! - Don't take any bribes and don't break the hearts of younger Trailmen.  :-)

 

    • Review cars – all cars are eligible for Realistic, Original, and Trailman’s Choice categories)
    • Pick First, Second, Third for each Category (Realistic, Original)
    • Resolve any disputes or ties internally
    • Trailman’s Choice - help tally votes by Trailmen

 

 

Race Operation

  • Photographer (Candids) (1 Volunteer)
  • Starter / Car Carrier / Lane Coordinator (1-2 Volunteers)
  • Cars are returned to the table
  • Ties are resolved with a winner-take-all race (2 lanes, 2 races)

 

General Information

  • Any non-Trailmen youth and extra cars (designated by Trailman) will race in the "Outlaws" heats. 
  • Adults race in the Adults heats.  There may be a friendly heat between winners Adults  
  • All cars are eligible for Realistic, Original, and Trailman’s Choice categories

 

Pre and Post Race

  • Setup - Friday night before race, setup the track in the race room, power and test to ensure track is operational, setup chairs, tape off area
  • Teardown - Disassemble the track, cleanup race room, return track to storage
